WeddingsCustom Insert Cards for Wedding Favors: Quantity & Personalization
Insert cards have become a quiet staple of modern wedding favors — tucked into a favor box, tied to a jar of local honey, or set at each place setting with a guest’s name printed on it. They are inexpensive relative to the favor itself, but they are also the piece guests are most likely to photograph, which makes the design worth real attention.
How many to order
Base your quantity on your final guest count plus a buffer, not your invite list. A useful rule of thumb: order 10–15% over your expected attending headcount to cover last-minute plus-ones, vendor and photographer favors, and any cards damaged during setup. Our 250-piece minimum comfortably covers most wedding sizes with room to spare for a keepsake or two for yourselves.
Personalizing each card
Two personalization approaches are common. The first is a single design printed for every guest — a thank-you message, the couple’s names, and the wedding date, identical across the run. The second is individually personalized cards, most often guest names for place settings, which we handle as a variable-data print job: send a spreadsheet of names and we merge them into the base design automatically. Individual personalization is popular for escort cards and seating displays doubling as favors.
Format and finish for a wedding budget
A Standard 4×6 or Mini 2×3.5 card in a soft matte or linen finish covers most favor applications at the lowest cost per piece. Couples who want a more elevated presentation — especially for a formal or black-tie event — often upgrade to a foil-stamped card with the couple’s monogram, reserving the higher per-unit cost for a smaller, more deliberate keepsake rather than a full favor run.
| Guest count | Suggested order qty | Typical format |
|---|---|---|
| Up to 150 | 175–200 | Standard or Mini |
| 150–300 | 300–350 | Standard or Mini |
| 300+ | Match headcount + 12% | Standard, foil accent optional |
Choosing for your order
Lock your final headcount before placing the order if at all possible — reprints close to the wedding date are harder to rush than getting the number right the first time, and our ten-business-day production window means ordering roughly six weeks out gives the most comfortable margin.
